OVERVIEW

One Nation / One Project (ONOP) is a national arts and wellness initiative that is helping cities and towns across the U.S. imagine, plan, and create large-scale participatory art projects that build community, redefine a more equitable nation, and increase wellbeing for all. ONOP’s leadership includes co-artistic directors Clyde Valentín and Lear deBessonet and Executive Director Lex Leifheit working in partnership with a creative team including the National League of Cities and the Center for Arts in Medicine at the University of Florida, as well as additional partners across the arts and health sectors.

 

ONOP is a fiscally sponsored project of the Tides and ONOP employees are employees of Tides.

 

POSITION SUMMARY

The Project Coordinator's responsibilities include working closely with the Executive Director and Co-Artistic Directors to manage logistics and organize across available resources, time frames, and processes for a one-of-a-kind national arts and wellness initiative. The candidate for this position must be able to plan, organize and facilitate follow-up of resources to ensure proper creation and completion of the project. Being proactive and solution-oriented with the intent to keep the objectives of the project moving forward is key. The role will perform various coordinating tasks, that include scheduling, administrative duties, maintaining project documentation, setting process, research and reporting, and handling various project queries. To succeed in this role, the candidate should possess excellent time management, organizational, and communication skills, as the role will collaborate with project teams to deliver results across multiple tiers of collaborators on different levels.

 

This is a grant-funded position tied to national co-productions that are expected to conclude in Fall 2024. It is based in New York City and is a hybrid position working in a centrally-located office approximately 1-2 times per week.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

Organization / Administration
• Create and maintain project timelines, project calendars, and update weekly status reports.  

• Organize and maintain folder structure on project drives to support information flow. 

• Align organizational tools with work process including creating information and process documents.  Collaborate on outlining immediate and long-term management processes. 

• Schedule necessary meetings, distribute agendas, document and publish notes when needed.

• Support logistics for travel, including monitoring the available resources in the budget, purchasing and the collection and processing of timely reimbursements

• Support implementation of internal and external communications systems and strategies. Create and maintain project plans for cities with operational / task outlines with progress and completion dates, necessary contact resources, and work plans.

• Support the shared use of ONOP's office space in Manhattan, including regular on-site visits for general maintenance as needed.

 

Coordination
• Support the execution and invoicing of contracts, agreements, and MOUs with partner organizations through fiscal sponsor.
• Coordinate and build information tracking and contact lists of cohorts / partners. Maintain and update tracking sheets and logs, including expert list, and decision/action logs.
• Work with Executive Director and team to build infrastructure for client and partner relationship management. Create and maintain project plans for cities with operational / task outlines with progress and completion dates, necessary contact resources, and work plans.

 

Creative Alignment
• Research and source potential creative collaborators, resources, and information needed.
• Coordinate the production and delivery of internal creative projects needed, including photo or video shoots, making necessary decisions to ensure specifications and high standards.
• Assist in organizing third-party providers and creative vendors, including agency, social media, PR, and website partners to deliver elements.

QUALIFICATIONS

Minimum Qualifications

• Five (5) years or 10,000 hours of verifiable administrative/professional experience in a nonprofit, philanthropic or public policy organization

 

and

• Two (2) years or 4,000 hours verifiable experience managing the finances of a project >$100,000 using bookkeeping software; or certification in bookkeeping or nonprofit accounting

  

Education and/or Experience

• Bachelor’s Degree or equivalent combination of training and experience.

 

Knowledge, Skills and Abilities

• Strong organizational skills with the ability to be proactive and solution-oriented
• Experience in creative event production, theater or TV is a plus.
• Strong communication skills with the ability to listen and understand information that is presented
• Excellent interpersonal skills with an ability to work with management and staff; artists, community leadership, and collaborators by telephone, virtual meetings and in written communications.
• Proficiency in commonly-used office software including Microsoft Office, Word, Excel and Google Workspace
• Experience facilitating accessible virtual meetings on Zoom
• Ability to research and organize details effectively for presentations
• Presentation building and writing skills with PowerPoint or Keynote
• Experience in successful social media campaigns and content creation
• Ability to create and manage organization process and workflow charting.

 

Organizational Relationship

Program Coordinator will report to the Executive Director and works collaboratively with staff, partners, and other partners as necessary to maintain program efficiency.

 

Physical Demands

• Must be able to move around the office to deliver packages to other teams 1-2 times per week.

 

Work Environment

• New York central office and remotely based on Covid regulations and/or requirements and project needs.

 

COMPENSATION

This is a full-time, exempt position. The salary range is $80,000 - $95,000 depending on experience. Benefits include:

• A low employee co-pay for health Insurance, currently $1/month
